Client Overview

A leading Indian fintech company planned a large-scale expansion of its processing centers across the country. The objective was to establish operational hubs in 100+ locations, primarily across Tier 3 and Tier 4 cities, to support its growing financial services operations and improve regional accessibility.

The client required compact operational centers with a floor area of approximately 200–250 sq. ft., designed to support small processing teams while maintaining efficiency and cost optimization.

Project Objective

The goal was to identify, secure, and operationalize suitable office spaces across multiple cities within a strict timeline, ensuring that each location met the client's operational, safety, and compliance requirements.

This project was executed under a Managed Office model, where the workspace operator handled the entire process from property identification to operational management.

Role of the Real Estate Team

Centralized Coordination

The Real Estate (RE) team based at the head office led the initiative and coordinated the project across the country. The team leveraged a strong network including internal center teams, members from group companies, local property brokers across multiple cities, and regional partners and consultants. This extensive network enabled the team to identify suitable properties quickly in remote and emerging locations.

 Property Identification and Evaluation

Although each property requirement was relatively small (200–250 sq. ft.), the RE team ensured that every location underwent a thorough evaluation process. The process included identification of potential properties through local networks, personal site visits by team members, physical validation of the property, evaluation of building condition, verification of safety and compliance standards, and assessment of accessibility and infrastructure.

Even for small floor areas, the team ensured that each property met the client's operational expectations and brand standards.

Property Shortlisting and Client Presentation

After site visits and evaluations, the RE team prepared detailed presentations for the client. For each city, three shortlisted property options were presented along with a comparative analysis. Key details included location advantages, building conditions, infrastructure availability, parking facilities, and commercial terms. This enabled the client to review multiple options and select the most suitable property for their operations.

Negotiation and Documentation

Once the client approved a property, the RE team initiated the next phase, which included commercial negotiations with landlords, finalization of rental terms, agreement documentation, and coordination with landlords for compliance requirements. The team ensured that competitive rental terms were secured while maintaining project timelines.

Handover to Infrastructure Team

After the commercial agreements were completed, the project was handed over to the Infrastructure and Development team for further execution. Their responsibilities included design and renders, workspace setup, interior development, infrastructure readiness, and installation of operational facilities.

Managed Office Implementation

Under the Managed Office model, the scope extended beyond just securing the property. Despite the challenges of operating across multiple Tier 3 and Tier 4 cities, the Real Estate team successfully identified properties across the required locations, conducted site evaluations, secured approvals, completed negotiations, and coordinated with internal teams. All milestones were achieved within the defined project timelines.
